Position Summary:

Sony Corporation of America (SCA) is seeking an Office Assistant to join the Global Retail Office based in San Diego, California. The Office Assistant will support the Global Retail Office in San Diego and perform administrative duties of a dynamic and diverse nature to support the team. The Global Retail Office is a global organization with their main offices in Tokyo, San Diego, San Francisco and New York. The position will assist the Head of Global Retail Office Finance team and other senior executives within the global organization when visiting. The position supports the office administration which includes ensuring the smooth and professional running of the office secretarial operations aligned with Sony protocol in addition to adherence to Sony/SCA corporate policies and procedures. This position is also responsible for handling business data & information of the retail business such as editing of business report, data input and check in system.

Responsibilities:
Assist the Head of Global Retail Office Finance in San Diego and other senior executives when visiting the San Diego office including meeting arrangements, travel logistics, etc.
Support directors with travel arrangements and related logistics
Process all office expenses / capital expenditure approval according to policy and manage all office document control
Order and maintain office equipment and office supplies
Assist in managing office expense and liaise with GRO's finance team regarding budget issues and expenses
Manage all office documents control (legal contracts, supplier invoices) based on Sony's rule for approval and make payment process
Coordinate internal and external meetings (room booking, Outlook reminders, food & beverage)
Schedule teleconferences and video-conferences across teams and multiple time zones
Sort incoming mail, publications and other correspondence
Coordinate with GRO teams at other sites or any other office administrators in Sony and external as needed
Set up and maintain files that may contain confidential information as well as ensure data is secure on and off premises
Coordinate with IS and Helpdesk and Security in Sony as needed
Assist in data input on spreadsheets and validation of data on business reports
Assist in month-end and ad hoc reporting preparation under supervision
Create and edit excel spreadsheets and PowerPoint charts
Qualifications:
Minimum 3 years administrative experience Minimum 3 years hands-on work experience in a comparable business situation
Bachelor's degree preferred
Retail and entertainment/media businesses experience or career interest is a plus
Multi-national Corporation experience is a plus
Experience in supporting Executives with multi-country management responsibility is a plus
Experience in handling business data (sales/marketing/finance &accounting) is advantageous.
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) รข€“ advanced computer skills preferred (i.e. Excel lookups and pivot tables)
Good analytical and problem solving skills and a high attention to detail
Highly organized, detail-oriented and ability to multi-task and balance priorities
Ability to work independently and initiate solutions to unexpected issues
Ability to prioritize as well as adapt processes, manners and meetings accordingly
Team player with ability to perform multiple, unrelated tasks simultaneously
Excellent written and oral communication skills with all levels of management
Experience in discreetly handling confidential human resources, financial and business information preferred
Experience in preparation of expenses, payment, filing as well as following up on budget
Multi-lingual skills in addition to English is a plus
Schedule needs to permit periodic overtime hours
Must be eligible to work unrestricted in the USA
